Summary Job Description

The MAJOR TASKS are listed below, but the incumbent may be assigned to other duties.
  • Welcomes the customers, builds a relationship of trust and demonstrates serious commitment to customer satisfaction.
  • Helps the customers choose vehicles, by asking them questions and listening carefully to their answers, in order to identify their needs fully.
  • Explains to potential customers product performance, functioning and advantages.
  • Describes any optional equipment the customer might buy.
  • Offers to road test a vehicle for any potential customer.  Follows dealership procedure to obtain the appropriate identity documents from the customer before the road test.
  • Explains, in a professional manner, the terms and conditions governing long-term leases, as compared to traditional purchase arrangements, based on customer needs.
  • Obtains the required information and completes all documents required to prepare for a sale.
  • Knows and understands the concepts of equity and residual value and is able to explain the principles of depreciation to the customer.
  • Negotiates the price and has the transaction approved by the sales manager.
  • Notifies the sales manager in the case of an exchange or refund or when a credit note is drawn up.
  • Forwards 100 percent of the completed transactions to the marketing director, together with all the duly completed documentation (insurance information, the title for the transaction, etc.).
  • Adequately prepares customers and provides them with information, in order to take maximum advantage of meetings with the marketing director.
  • Defines his/her annual personal sales objectives, has them approved by management and monitors them.
  • Reviews and analyzes his/her activities at the end of each day, week, month and year, in order to organize his/her schedule in the most efficient manner.
  • Keeps up-to-date on novelties with regard to products, features, accessories, etc. and their advantages for the customer.
  • Knows and understands all federal and provincial laws and municipal bylaws regulating retail automobile sales.
  • Takes part in training courses on products and sales, as instructed by the sales manager.

Delivery-related tasks

  • Verifies the cars sold to prepare for their delivery to the customers, before the customers arrive.
  • Delivers cars to the customers, ensuring that they understand their functional features, the warranty and the documents to be completed.
  • Introduces customers to the after-sales department personnel, in order to highlight the quality and efficiency of the repair and maintenance service provided by the dealership.
  • Arranges the first check-up appointment with the after-sales department.
  • After delivery, follows up on accessories, documents or other special requests promised to customers, in order to ensure that all customer expectations are met.

Tasks related to follow-up and prospecting

  • Contacts customers within 48 hours of the sale to ensure that they are satisfied, to resolve any possible problems and to ask for referrals.
  • Contacts the customers who did not make a purchase within 24 hours of their visit, to perform follow-up.
  • Seizes business opportunities.  Solicits and searches for new customers, on a regular basis, making maximum use of various prospecting tools.
  • Uses the dealership's customer follow-up system.
  • Uses the dealership's customer development system.
  • At the request of his/her supervisor, takes part in social or business activities.

Miscellaneous tasks

  • On request, participates in the car inspection and preparation process and/or refurbishes the cars.
  • Cooperates in keeping the show room and/or the previously used car department clean and tidy.
  • Helps display vehicles in the show room and the parking lots for new and previously used vehicles.
  • Acts as mentor to new representatives.
  • Takes part in sales team meetings.

Summary Job Description

Welcomes customers and gathers the information required to identify and define the vehicle repair and maintenance work they require.  Sells maintenance services and organizes the work schedule, while maintaining excellent customer service.

The MAJOR TASKS are listed below, but the incumbent may be assigned to other duties.

Tasks related to customers

  • Welcomes the customers warmly on arrival and obtains information about their cars.
  • Explains the nature of the work performed and all the costs to the customers.
  • Advises customers on how to look after their cars and stresses the importance of maintenance, based on the manufacturer's technical features.
  • Maintains high standards of customer satisfaction.
  • Ensures that customers are informed of all promotions and services provided by the dealership.

Miscellaneous tasks

  • Is responsible for telephone requests for appointments and inquiries about work underway.
  • Arranges appointments for maintenance services.  If possible, obtains information about the customers and their cars before they come to the dealership.
  • Sells lubricating, safety inspection and other services of a similar nature or any other maintenance required by the manufacturer.
  • Accurately records the car problem experienced by the customer, on the work order.
  • Distributes tasks to the technicians.
  • Test drives the car with the customer, as necessary, in order to confirm the nature of the problem or refer the customer to a technician.
  • Takes into account previous checkups, inspects the car and recommends any additional repairs required.
  • Prepares a detailed and accurate estimate of the cost of labour and parts.
  • Determines the time frame for completion of the work; verifies this with the shop dispatcher, if necessary.
  • Has the customer sign the work order and provides him/her with a copy.
  • Determines the payment method.  Obtains credit approval, if necessary.
  • Notifies the shop dispatcher of the work to be done.
  • Checks how the work is progressing throughout the day. Contacts customers if there is any change in the estimate or the time frame for completion of the work, explains the cost and time required in detail, and obtains the appropriate authorization before any additional work is done.
  • Verifies the scope of the warranty coverage on the vehicle to be repaired before work is begun.
  • Examines the work orders, to ensure that the work has been finished and that they indicate any additional repairs and authorizations.  Closes the work orders, in keeping with established procedures.
  • Ensures that cars are parked in the correct spaces.  Ensures that they are locked, and that all the keys are labelled and properly organized.
  • Ensures that department forms, lists of repairs and pricelists are up-to-date.
  • Is an active participant in the quality control process, to make returns to the shop unnecessary.
  • Inspects car bodywork, notifies customers if any work is necessary and prepares the estimate accordingly.
  • Ensures that the work area is kept clean.
  • Maintains a professional appearance.
  • Performs other tasks, based on management requirements and instructions

Summary Job Description

Generates additional income for the dealership by selling financing and insurance programs, and other appropriate after-sales products, to purchasers of new and previously used cars.

The MAJOR TASKS are listed below, but the incumbent may be assigned to other duties.
  • Sells financing and life and health insurance, as well as various coverages and extended warranties.
  • Processes financing and lease transactions accurately and fairly through financing sources, in order to have them approved.
  • Negotiates with financial institutions in cases which are denied, and, if appropriate, submits the file to his/her supervisor, so that special conditions may be negotiated.
  • Works closely with his/her supervisor and the dealer to establish sales department objectives and ensure that they are attained.
  • Works with the sales managers to achieve a reasonable profit on each sale.
  • Coordinates financing forecasts with sales department forecasts, to achieve the desired penetration and income levels.
  • Establishes and maintains good business relations with several sources of financing, including manufacturers and their financial branches.
  • Is constantly on the lookout for new credit facilities, in order to obtain competitive rates of interest and financing programs.
  • Writes various reports on financing penetration and the profits generated by the transactions, as well as other statistics (items sold…).
  • Establishes and maintains a program to ensure that 100 percent of customers rely on the after-sales marketing service.
  • Provides customers with detailed information on aftermarket products and extended warranties.
  • Explains service conditions and the manufacturer's and dealer's policies to the customers in detail.
  • Efficiently completes vehicle sale and leasing forms, when required.
  • Is responsible for registering new and previously used cars.
  • Verifies with the Quebec Ministry of Justice RDPM Register of Personal and Movable Real Rights any liens on vehicles purchased or traded in, and forwards this information to the sales manager and/or controller.
  • Verifies all documents, to ensure that the titles of ownership to the vehicles purchased or traded in are in order.
  • Ensures that the information on the sale or lease contracts (taxes, signatures, vehicle descriptions, etc.) is accurate.
  • Ensures that all financing and insurance charges are collected.
  • Accepts deposits and issues receipts.
  • Receives all credit applications.
  • Processes the end-of-month commission sheets for the accounting payroll department.
  • Provides the sales team and sales managers with up-to-date information on financing and leasing programs, on an ongoing basis.
  • Provides the sales team with training on the advantages of financing, insurance and extended warranty programs, as well as how to prepare customers for the services provided by the marketing director.
  • Supervises and trains personnel appointed as backups, in order to ensure efficiency and profitability when he/she is absent.
  • Keeps an adequate and up-to-date supply of all contracts and documents required for the preparation and finalization of automobile transactions.
  • Understands and observes federal and provincial regulations and municipal bylaws affecting the new car, previously used car and finance departments.
  • Takes part in management meetings.
  • Maintains a professional appearance.
  • Performs other tasks, based on management requirements and instructions.
